Back from America, Back to Business: My Top Tips for Getting Organised Before Christmas

Published on 2 November 2026 at 18:32

I'm back from America, and with Christmas just around the corner, there's no better time to get organised!

After spending some time in America, I'm back, feeling kind of refreshed (if you've been to Orlando then you know its not really a relaxing holiday) inspired and ready to get stuck into the final stretch of the year.

One thing that being away reminds me is how important it is to take a break, switch off and enjoy life outside of work. But it also gets me thinking about how much easier running a business can be when you have the right systems, support and organisation in place.

And now that we're into November, I know I'm not the only one wondering where on earth this year has gone!

Before we know it, the Christmas decorations will be up, diaries will be filling with all the festive plans, and everyone will be trying to squeeze a month's worth of work into the last couple of weeks before Christmas.

So, rather than leaving everything until the last minute, I wanted to share some of my favourite business organisation tips to help you finish the year feeling calm, prepared and in control.

1 - Get Everything Out of Your Head and Onto a List

Let's start with something simple.

If you're a business owner, chances are you've got a hundred things going around in your head at any one time. Client emails, invoices, meetings, deadlines, social media posts, Christmas plans... the list goes on!

My first recommendation is to sit down, grab a notebook (or your favourite digital planning tool - I love Trello boards) and write down absolutely everything that needs doing before Christmas.

Then divide it into three categories:

  • Must be done before Christmas: Urgent client work, deadlines, invoices and important commitments.

  • Would be nice to complete: Those jobs you've been meaning to tackle but aren't essential.

  • Can wait until January: Anything that doesn't need your immediate attention.

It's amazing how much clearer things feel when everything is written down rather than taking up space in your head.

My tip: Don't confuse being busy with being productive. Focus on the tasks that actually move your business forward.

2 - Give Your Inbox a Pre-Christmas Clear-Out

Be honest... how many unread emails are sitting in your inbox right now?

Emails can become one of the biggest distractions in a working day, especially when you're constantly stopping what you're doing to check them.

Before the festive rush begins, spend some time getting your inbox organised.

Create folders for important clients, outstanding enquiries, invoices and anything requiring follow-up. Unsubscribe from unnecessary mailing lists and archive emails you no longer need.

You could also set aside specific times each day to check your emails rather than responding to every notification.

My tip: If you're planning to take time off over Christmas, prepare your out-of-office message early and let your clients know when you'll be available.

3 - Get Ahead of Your Christmas Communication

Christmas is a busy time for everyone, and your clients are no exception.

Now is the perfect opportunity to plan your festive communications rather than rushing to put something together in December.

Think about:

  • Christmas opening hours and holiday closures.

  • Festive emails or thank-you messages to clients.

  • Social media content for November and December.

  • Any final booking dates or deadlines.

  • New Year announcements or January availability.

Scheduling content in advance can make such a difference, particularly if you're hoping to enjoy some proper downtime over Christmas.

My tip: Block out an hour or two in your diary to plan your content for the rest of the year. Future you will be very grateful!

4 - Tidy Up Your Business Admin

I know, I know... business admin isn't always the most exciting job on the to-do list! well unless you've me and LOVE it!

But it's one of those things that makes everything else run so much more smoothly.

November is a great time to look at those little jobs that have been pushed aside during the year.

Check that your client records are up to date, organise your digital folders, review outstanding invoices, tidy up your calendar and make sure important documents are easy to find.

You don't need to overhaul your entire business overnight. Even spending 20 minutes a day tackling those outstanding admin tasks can make a huge difference.

My tip: If you find yourself putting off the same admin tasks week after week, ask yourself whether they're really the best use of your time.

Sometimes outsourcing those jobs is the smartest business decision you can make.

5 - Start Thinking About January Now

I know we're talking about Christmas, but hear me out!

One of the best things you can do for your business in November is to start preparing for January.

Instead of returning after the Christmas break to a mountain of emails, an overflowing to-do list and no clear plan, imagine coming back knowing exactly what your priorities are.

You don't need a complicated business strategy. Just ask yourself:

What has worked well this year?

What has taken up too much of my time?

What would I like to do differently next year?

Where could I benefit from some extra support?

A little preparation now can help you start January with a much clearer head.

My tip: Set yourself three realistic business priorities for the new year and identify one small action you can take towards each of them before Christmas.

6 - Make Time to Enjoy the Festive Season

This is probably my favourite tip of all... if you know me, you know I love Christmas and all the family & friend time!

As business owners, it's so easy to feel as though we should always be doing something. There's always another email to answer, another task to complete or another idea to work on.

But one of the things I've been reminded of after having some time out is that taking a break is important too.

You've worked hard throughout the year, and you deserve to enjoy some time away from your desk without feeling guilty about it.

That might mean spending time with family and friends, enjoying a Christmas market, taking a few days off or simply having a quiet afternoon without checking your emails.

Whatever Christmas looks like for you, make sure you give yourself permission to enjoy it.

And if your business needs a little extra support to make that possible, you don't have to do everything yourself.

A Little Organisation Now Makes a Big Difference Later

As we head towards the end of the year, my biggest piece of advice is simple:

Don't wait until you're completely overwhelmed before getting organised.

A little planning, a few good systems and the right support can make such a difference to how your business runs.

At Lumos Virtual Support, I help busy business owners take control of their admin, manage their workload and free up valuable time to focus on what matters most.

Whether it's your digital marketing, keeping on top of day-to-day administration or helping you prepare for the new year, having someone in your corner can take a real weight off your shoulders.

So, if your to-do list is getting longer and you're wondering how you're going to fit everything in before Christmas, perhaps now is the perfect time to think about getting some extra support.
